7.10 BREIDENTHAL UNIVERSITY HOUSE

Effective: August 15, 2024

Purpose: To provide the rules and restrictions for use of the Breidenthal University House.

Scope: The policy applies to all faculty, staff, students, and visitors who visit the Breidenthal University House

Policy Statement:

Reservations

Reservations for use of the Breidenthal House, are requested through the University’s Conference and Scheduling Center.

The public space should only be used for presidential events. The only fundraising events and activities permitted are those conducted for the benefit of Emporia State University and the ESU Foundation.

Political meetings or rallies and soliciting or the distribution of literature by outside agents or       agencies are prohibited.

Unless approved by the Office of the University President, usage of the facility will not be granted during the following:

  • Sundays
  • Holidays
  • Fall break
  • Thanksgiving break
  • Christmas break
  • Home football games
  • Homecoming week
  • Spring break
  • Before 8:00 a.m. or after 9:00 p.m.

Catering

Any use of the kitchen or public area for food preparation or consumption must be cleaned upon conclusion of the event.

Alcoholic Beverages

Alcoholic beverages are permitted with prior approval from the University President, subject to procedures established by that Office.

Service or consumption of alcohol is intended to be limited to specific events which occur in connection with official University programs or with special permission of the University President.

Room Set Up and Furniture

Maximum seating capacity is 40.

Room setups shall be requested at the time of the reservation with Conference and Scheduling and completed by Facilities.

General

A courtesy phone is located in the catering kitchen for local calls only.

Emergency issues with plumbing, electrical, or HVAC (emergency being defined as completely preventing the use of the space or significant negative impact to the event) should be immediately reported to:

Facilities Assistant Director for Administration and Building Services at 

(620) 342-7126.

Director of Facilities at (910) 322-7954.

Unless approved by the University President, the Breidenthal House may not be reserved for the following:

  • funeral or memorial services;
  • weddings; or
  • academic courses.

The Facility may be reserved for post-funeral receptions.

Except for guide dogs, no animals are permitted in the building.

The Breidenthal House is part of the University campus and therefore included in the no tobacco policy unless otherwise excepted by the President.

The event sponsor is liable for all damages, injuries, and actions that may result from their event.

Obstructions shall not be placed within the required width of a means of egress or in front of exits. This includes movable items such as furniture, plants, TV/carts, recycling containers, trash cans, etc. Typical egress width is forty-four inches (44”).

Access

Access to the facility is for contracted time only. All preparation, deliveries, decorating, clean up, etc. must occur during contracted time. 

All events in the Breidenthal House must be scheduled to conclude at 9:00 p.m. Monday through Saturday and premises vacated no later than 10:00 p.m.

Technology

Computer and two display monitors are available for use. A user guide is available on-site. Information Technology may be contacted for assistance or training on how to use the equipment.

Parking

Visitor parking is available on the street west of the Breidenthal House or in any unrestricted parking lot on the University campus. The south parking lot of the Sauder Alumni Center is not to be used for Breidenthal House events/public parking. This lot is reserved for University Advancement vehicles and guests who are on official University Advancement/ESU Foundation business.

Vehicles are not permitted on sidewalks, driveways, ramps, or walkways and must be parked in designated parking areas. The ramp leading to the public kitchen is for loading/unloading only.

Decorations and Candles

Decorations, posters, or similar items should not be attached to the walls or doors or hung from the ceiling or fixtures. Taping, tacking, stapling, nailing, gluing, etc. to walls, doors, painted areas or furniture is prohibited.

Candles are permissible if the flame is enclosed in a protective glass container intended for that use. The flame must be below the top of the container. Spilled wax will result in cleaning charges. Only dripless or pillar candles are permitted on the fireplace mantle in an enclosed container.

University House General Maintenance

Except for emergencies, requests for service shall be submitted through OnBase. Point of contact for status is the Assistant Director of Administration and Building Services. Maintenance, including but not limited to housekeeping, landscape, and pest control, will be performed or coordinated by University Facilities.

Definitions: All words and phrases shall be interpreted utilizing their plain meanings unless otherwise defined in another University or Board of Regents policy or by statute or regulation.

Procedures: All procedures linked and related to the policies above shall have the full force and effect of policy if said procedures have first been properly approved by the University’s administrator in charge of Campus and Facilities.
